Preparing payroll software for PAYE, NSSF and local service tax

A reliable payroll setup starts with clean employee data, approved policies and current statutory configuration.

Payroll software can automate calculations and reporting, but the result is only as reliable as the employee records, policies and statutory settings behind it. Before the first live payroll, confirm each employee's identification details, tax status, pay components, deductions and payment method.

Build a controlled payroll structure

  • Separate taxable pay, non-taxable items, benefits, reimbursements and deductions.
  • Define leave, overtime, allowances, loans and termination rules.
  • Restrict access according to payroll roles and approval responsibilities.
  • Reconcile payroll totals to the accounting system every period.

Keep statutory settings current

PAYE, NSSF and local service tax rules can change. Confirm current rates and filing guidance with the relevant Ugandan authorities or a qualified tax adviser before processing a live payroll. Record configuration changes and test their effect before applying them to all employees.

Test before go-live

Run a parallel payroll and compare gross pay, deductions, net pay and employer costs with the approved source records. Resolve differences, obtain sign-off and retain the reconciliation as part of the implementation record.
